Location: Hybrid role based out of Richmond Hill, Ontario. Employees must be physically located in Canada and able to attend the office when required.

Position summary
The Project Coordinator supports the Project Management team in the execution of market research projects. This role focuses on coordinating operational project tasks, preparing project materials, and ensuring internal processes are followed so that studies run smoothly and efficiently.
This position requires a strong technical aptitude, strong initiative, and the ability to multitask and prioritize.
What a typical day might look like
• Reviewing survey performance and field progress
• Coordinating with programming and operations teams
• Preparing sampling pulls and monitoring quotas
• Preparing project status updates for the Project Manager
• Organizing project documentation and internal team updates
Standard hours are approximately 40 hours per week, Monday to Friday. Occasional evening or weekend work may be required to meet client deadlines, in accordance with the Ontario Employment Standards Act (ESA), including applicable overtime provisions.
Key Responsibilities
• Assist Project Managers in project execution and preparation
• Prepare project documentation and support project kick-off activities
• Coordinate internally with programming, operations, and third-party teams
• Monitor fieldwork, sampling, quotas, and project timelines
• Prepare study performance summaries for the Project Manager to review before client communication, while monitoring projects in-field to ensure that deadlines are met
• Escalate any issues to the Project Manager immediately
• Maintain organized project files and documentation
• Support staff briefings for mall or on-site studies under direction of the Project Manager, ensuring interviewers and supervisors are informed of study procedures
• Liaise between the client and the programming team during the link review and feedback stage
• Ensure internal processes and tests are followed so that accuracy is maintained during the dispatching of survey invites
• Report on all key survey metrics after pre-testing, including net expected incidence and interview length

• Experience in project coordination, operations, research, or customer service roles is an asset but not required; general understanding of market research principles and familiarity with common methods (questionnaires, focus groups, interviews, mall intercepts, shelf-tests) are an asset.
• Willingness to work outside of typical work hours as needed by clients, with appropriate compensation in accordance with the ESA.
Minimum qualifications:
• BA/BS degree or equivalent practical experience
• 1 year of relevant professional experience
• Legally entitled to work in Canada
